Bring your ideas, products, services and programs to AMSA's 2008 Annual Convention and Exposition:

EXHIBITING

The exhibit hall will occupy the Market Place, Lower Level, of the Hyatt Regency Houston and will be available for exhibit installations on Wednesday, March 12, 2008, 3:30 pm - 6:30 pm. All exhibits must remain intact until the official closing time and may not be dismantled or removed before that time. To avoid assignment of space adjacent to a particular competitor, please indicate on space reservation contract (you can check here for a regularly-updated list of exhibitors and reserved booth spaces). All booths are 8' x 10' with the exception of the 8' x 20' end-caps. If your exhibit is larger than this, please contact us at (703) 620-6600, ext. 232.

Wednesday, March 12 -- 3:30 pm-6:30 pm

Open:
Thursday, March 13 -- 12:30 pm-4:30 pm

Saturday, March 15 -- 10:30 am-2:00 pm

Exhibit hall will open one hour prior to scheduled exhibit time to exhibitors only in order to access their booth space.

Move Out:
Saturday, March 15 -- 2:00 pm-4:00 pm (no exceptions).

No teardown permitted prior to 2:00 pm, Saturday, March 15. Any items left after 4:00 pm will be discarded by the cleaning crew. AMSA will not be responsible for items left in booth.

8' x 20' End Cap: $6,200
8' x 10' Prime Booth Space: $2,950
8' x 10' Standard Booth Space: $2,500
6' Table Space for Non-Profit only: $1,750

  • Product/service description in the Exhibitor Directory section of the convention program

  • 7" x 44" custom booth sign

RAFFLE
An hourly raffle will be held March 13-15 in the exhibit hall at the AMSA booth. All exhibitors will receive tickets, which they may use to solicit, recruit and attract attendees. AMSA welcomes and appreciates donated prizes from exhibitors. All donations will receive product recognition and acknowledgement, as well as word-of-mouth advertising.

FOCUS GROUPS
Prior approval is mandatory and exhibitor must advertise a minimum of three times in the past 12 months. Focus-group rates are $500/each for 50 minutes with a maximum of 30 participants.

SPONSORSHIP AND DONATIONS
Sponsorships are available for social and programming events, food, convention gifts, etc. Monetary and raffle prize donations are appreciated and accepted.

5TH ANNUAL RESIDENCY FAIR & SPECIALTY SHOWCASE
The top three items our members say they would like to see more of at AMSA's Convention are career development, residency program information and the choice of future specialties. Come recruit, educate and build relationships among your best candidates--those seeking information--at the 5th Annual AMSA National Residency Fair & Specialty Showcase, Friday evening, March 14, 2008.

This is a valuable way to communicate your message in an informal setting. You'll have the opportunity to:

  • Promote your program or specialty to more than 1,300 physicians-in-training.
  • Meet and recruit rising 4th year students for the 2009 Match.
  • Answer career questions from 1st - 3rd year students. Be their source of information.
  • Complement your exhibit hall booth space by having the extra time to talk at length with your best candidates individually.

This year, we are highlighting a showcase for all specialty organizations to come and speak with our attendees. Expose students to your specialty, and provide them information about a career in your field.

Convention attendee lists will be available for purchase March 1-May 31, 2008.

THE NEW PHYSICIAN
Exhibitors receive 20%-off discount on advertisements placed in The New Physician's (TNP) January-February 2008 convention preview issue. Reservations are due by November 13, 2007 and materials are due by November 22, 2007.

RULES & REGULATIONS

Regulations were formulated in the best interest of all exhibitors participating in this convention. This show will conform to the rules and regulations of the National Association of Exposition Managers and the Expositions Contractors Association. We appreciate your full compliance.

GENERAL CONDUCT
Interviews, demonstrations, sales and the distribution of literature or educational items must be made within the booth area assigned to the exhibitor. Canvassing or distributing of advertising matter outside the exhibitor's own booth will not be permitted. AMSA also reserves the right to remove exhibit materials the organization deems offensive.

Exhibitors:

  • MAY take contact information from attendees.
  • MAY use AMSA raffle tickets to attract attendees to their booth.
  • MAY interview, demonstrate, solicit and sell products and give away small items to all attendees in designated, paid booth area.
  • MAY have focus groups as outlined under the section entitled, "Focus Groups."
  • MAY have raffles, prizes, games or the like in their booth space.
  • MAY NOT sublet or share booth space without prior written approval. Unauthorized subletting or sharing assigned or apportionment of the whole or any part of the exhibit space is prohibited. Exhibitors may not permit any other party who is not employed by their company to exhibit in their space any goods or services.
  • MAY NOT canvass, distribute advertising material or solicit outside their designated, paid booth area.
  • MAY NOT tear down exhibit prior to designated tear-down time.

ANTI-DISCRIMINATION POLICY
AMSA and the AMSA Foundation are organizations dedicated to the pursuit of human rights, dignity and equal opportunity for all people. Organizations that discriminate in recruitment or employment on the basis of gender, race, religion, sexual orientation, national origin, creed or handicap disability are prohibited from exhibiting at AMSA meetings and conferences.

FIRE REGULATIONS
Fire code requires materials such as table covering, drapes, etc., to be flameproof. Use of heaters, open flames, candles, lanterns, etc. as part of an exhibit are forbidden. Do not block any fire equipment or exits with materials.

LIABILITY
Exhibitors shall be fully responsible to pay for any and all damages to property owned by the Hyatt Regency Houston, its owners or managers that result from any acts of omissions of exhibitors. Exhibitors assume responsibility and agree to defend, indemnify and hold harmless, AMSA, Viper Tradeshow Services, Hyatt Regency Houston, its owners, managers, officers or directors, agents, employees, subsidiaries and affiliates, from any damages or charges resulting from exhibitors' use of the property. Exhibitors' liability shall include all losses, costs, damages or expenses arising from or out of or by reason of any accident or bodily injury or other occurrences to any person or persons, including the exhibitor, its agent, employees and business invitees that arise from or out of an exhibitor's occupancy and use of the exhibition premises, the hotel or any part thereof. Each exhibitor, by signing a contract to exhibit, expressly understands that he/she assumes the sole and entire responsibility as described above.

INSURANCE
Exhibitors acknowledge that AMSA, the Hyatt Regency Houston and Viper Tradeshow Services do not maintain insurance covering exhibitors' property and that it is the sole responsibility of exhibitors to obtain business interruption and property damage during insurance covering such losses by the exhibitors. Any exhibitor using an outside vendor or contractor must provide Viper Tradeshow Services with a certificate of insurance before they are allowed on the exhibit hall floor.

SECURITY
As a courtesy to the exhibitors, security for the exhibit area will be furnished by AMSA during the entire meeting. The furnishing of such service is in no case to be understood or interpreted as guaranteeing against lost or theft of any kind. Security services other than those provided by the hotel are not permitted. Security is not provided during Friday night's Residency Fair and Specialty Showcase.

SMOKING AREAS
There will be no smoking in the exhibit area. Check with hotel personnel for available designated smoking areas.

CLEANING
Cleaning services will be arranged by AMSA for aisles and common areas. It is the responsibility of the exhibitor to keep individual booth areas clean.

ADDITIONAL EXHIBIT HALL INFORMATION

OFFICIAL DECORATOR
Viper Tradeshow Services, at (847) 426-3100, will staff and fully operate an onsite Service Center to ensure overall coordination of the production aspects for exhibitors before, during and following the event.

The hotel has no storage facilities. You may ship inbound using any carrier service. But when shipping outbound, make sure the outbound carrier will pick up at the scheduled dismantle time, as all items must be cleared from the hall. Remember to ship all freight at one time. There will be a handling charge if Viper Tradeshow Services handles any freight or small packages before, during or after exhibition.

FURNITURE
Special furniture and decorating options may be rented prior to the convention or from the official supplier on the exhibit hall floor. Decorating packets will be sent directly from Viper Tradeshow Services in January. It is the responsibility of the exhibitors to check with Viper Tradeshow Services to be sure that their exhibits can be moved to the exhibit area, i.e., all entrance and exit accesses such as door frames, ceiling heights, floor loads, etc.

BOOTH EQUIPMENT
Booths measure 8' x 10' (width is center to center of side rails). The back drapes are 8' high and side rails are 3' high. End caps measure 8' x 20'. All booths will be equipped with a six-foot draped table, a 7"x44" custom sign, two chairs and a wastebasket. The Market Place is carpeted. Additional carpeting may be rented through Viper Tradeshow Services. Displays must remain in the designated booth area.

ELECTRIC POWER AND LIGHTS/SIGNS
Complete electric power is available through the Hyatt Regency Houston at standard rates including display lighting, spotlights and general electric service. Signs will be available through Viper Tradeshow Services. Electrical service and furniture order forms will be sent in the exhibitor kit, due to be mailed in January.

Be sure to mention you are with AMSA in order to receive the convention room rate of $135.00 (plus tax). All reservations must be made by Feb 18, 2008. Even though AMSA has reserved a large block of rooms, it's best to make your reservation as soon as possible. Once the block of rooms is sold out, rooms may sell for a higher price regardless if it's prior to Feb. 18, 2008.
